A letter from Ashley Broad, Chairman of YEP:
Thank you for sponsoring Alana Berghofer as a Rotary exchange student in 2016.  Alana was successful at the recent selection weekend and has been offered an exchange in Brazil.
 
I hope that your club enjoys a happy and successful involvement in the Rotary Youth Exchange Program and actively involves both your Outbound student and parents, and your matching Inbound student, in your club activities.  Remember, the parents of Outbounders are often potential Rotarians so don’t hesitate to ask them.
At the selection weekend we have given the Outbound student a project to complete.  We require the student to make a brochure about your club.  Your student will contact your club for help with information on Rotary and your Club.  The YEP Committee will review the brochure and then ask the student to get it translated into the language of their host country.  They will then be able to use this brochure to provide to Rotarians and other people who may be interested to find out about Rotary and your club.  Please help them to fulfil this requirment of the YEP Committee.
The Rotary Youth Exchange Program is based on reciprocal exchanges. When a Rotary Club sponsors an outbound student, it is obliged to host an inbound student to fulfil its exchange commitment. It is important for you to return the completed IN01 Club preference for an inbound student signed by both the President and the President Elect to the YEP Committee Chairman at the above address by return mail.
As part of Rotary’s duty of care to your Outbound Student, it is important for your club to appoint a Counsellor who should establish rapport with, and advise, the student on all aspects of Rotary expectations of them.  The Guidelines for Counsellors can be obtained on www.rotaryyouthexchange9600.com.au.  To fulfil Rotary International certification requirements, the Counsellor is also required to attend Counsellor training provided by the district.  If your club counsellor has changed since the Inbound Guarantee form was completed then please provide upto date name and contact details for your clubs Inbound Student Club Counsellor and return it to the YEP Chairman by email  chairyep@rotary9600.org.
In accordance with the Certification Requirements of Rotary International, also enclosed please find a copy of the COM15 Child Protection Responsibilities of Rotary Clubs form, which must be filled out, signed and returned to the YEP Committee. The Youth Exchange Committee encourage the parents of Outbound student to host an Inbound student to assist host clubs and for the families to become involved in the Youth Exchange Program. Most are keen to participate in hosting so please consider using them.  At the Selection weekend we advise the parents that clubs may require them to host for 12 months over a three year period or provide other families to host a student.
